Why project management is so stressful
Project manager anxiety is a result of being responsible for a project, but not having control over the people who do the work. Project management is not stressful for everyone.
Here are some common reasons for stress in project management.
Your role is not understood or respected by everyone in your organization.
You are the first line for any project issues, questions, or complaints.
You are given a project with very little guidance. Now you need to plan how to complete it on time and within budget.
Unexpected changes occur in the scope, budget, and timeline.
Stakeholders fail in their obligations to respond or approve items on time.
People are often confused about their responsibilities and roles.
Because they are too busy with work, team members miss deadlines.
You exceed budget and must explain it to a stakeholder.
Communication is difficult and everyone is not on the same page about goals and next steps.
The list could go on.
Let’s discuss how to manage stress when such issues arise, then we will dive into the best way to reduce stress and avoid burnout.
How to solve project problems with less stress
It can be difficult to manage stress when things go wrong with your projects. As the project manager, your actions can set the tone for everyone’s emotions. These 5 tips will help you keep calm at all levels.
1. Slow down and think it through
Sometimes, project-related issues can be so urgent that you feel the need for immediate action. However, it is important to take the time to fully consider an issue before you act.
Not responding to a problem right away does not mean that you are solving it correctly. Let’s face it, even if you think that you have all the answers, you won’t always know the truth.
Before reacting, take the time to talk with your team. It will make your time more productive, as well as the time of everyone working on your project.
Here are some questions to ask yourself at this stage.
What is the root cause of the problem
I know more about this issue than anyone.
Whom do I need to inform about the problem?
What will happen if it’s not fixed within the hour/today/tomorrow/this week?
What are the consequences of this problem?
After you have done all of this, you can begin to address the problem.
Remember: If you are responsible for solving a problem quickly, define what “quickly”, based on your comfort level. You could make a mistake and end up with longer-term problems if you don’t.
If you are pressured to discuss the issue or meet with someone, it is okay to tell them that you need time to explore options. Any immediate concerns can be soothed by simply stating that you are working on it.
2. Don’t take it personally
It’s easy for project managers to take personal responsibility for project problems and allow every word or action to get to them. Self-blame will not get you closer to a solution.
Any go is fine.
